The Role of the Friends Chair

The Role of the Friends Chair
  1. As volunteers and leaders, Friends Chairs play an integral role in helping the Head Coaches support our student-athletes. They spearhead the fundraising efforts for their respective programs and identify opportunities for involvement across each Friends Group.

    1. Community Builder:  Friends Chairs aim to build a community of engaged alumni/ae and supporters within the Friends Group.
    2. Relationship Builder:  Friends Chairs learn to use the individuals and resources available to them such as their Varsity Club liaison, Program Manager, Assistant Director of Alumni Relations and Stewardship, and coaching staff. Chairs work with the Coaches to hold realistic budget planning sessions with the Finance Office; educate the current team on the role/impact of Friends’ funding; and engage parents and alumni/ae.
    3. Fundraiser-in-Chief:  Friends Chairs consult with the Head Coach as the Friends budget is annually established. Once the Head Coach approves the Friends budget, Friends Chairs agree to lead the fundraising effort to reach the contribution goal and approve any changes to the budget as requested by the Head Coach, in consultation with the Program Manager and Finance Office. Chairs also keep their HVC liaison informed as the fundraising goal may fluctuate through the year.
    4. Board Leader: Friends Chairs create an active board of engaged volunteers to assist in the outreach efforts of the Friends Group. Chairs organize committees to help coordinate annual initiatives that drive the success of the Friends Group and schedule regular conference calls and/or face-to-face meetings. Chairs are also highly encouraged to attend the bi-annual Friends Leadership Meetings organized by the Department.
    5. Intelligence Officer:  Friends Chairs seek out the right people to ask for help with committees and events. Chairs also identify people to ask for money—and how much!
    6. Public Relations Officer:  Friends Chairs work closely with the Head Coach, Varsity Club liaison, Assistant Director of Alumni Relations and Stewardship, and the Program Managers to keep the Friends Group informed of team progress, fundraising updates and the annual needs of the Friends Group.
    7. Thanker-in-Chief:  Friends Chairs work with the Head Coaches and Captains to develop a stewardship plan for the year. Whether emails, postcards, phone calls, or invitations to special events, donors can never be thanked enough! The Varsity Club provides Friends Groups with regular gift reports so that donations can be acknowledged in a timely and personal manner.
